Who is responsible
James Gough, trading as ScanThis, is the data controller for scanthis.uk.
You can reach us at hello@scanthis.uk. Our full contact details, including a postal address, are at the bottom of this page.
What we collect
When you make an account: your email address and a scrambled version of your password. We never see your actual password.
When you order: your name, delivery address and email. Card details go straight to Stripe and never reach our servers — we only see the last four digits and whether the payment worked.
When you build a page: whatever you put on it. Photos, titles, phone numbers, addresses. That is your choice, and remember that anyone who scans your code can see it.
When someone scans a code: we record the code and the time. We do not record who scanned it, their location, or their device.
When you visit the site: our analytics counts page views without cookies and without tracking individuals.
Why we are allowed to hold it
- To perform our contract with you — your account, your order, your delivery, keeping your code working.
- Because we have to by law — records of sales have to be kept for tax purposes.
- Because we have a legitimate interest — knowing how many times codes are scanned helps us keep the service working and spot problems.
We do not send marketing emails. You will only hear from us about your account, your order, or a change to the service.
Who else sees it
We use a small number of companies to run the site. Each only gets what it needs:
- Our hosting and database provider — stores your account, your codes and your photos, on servers in the EU.
- Our website host — runs the site itself.
- Stripe — takes payments and handles your card details. They receive your name, email and delivery address. We never see your card number.
- Our email provider — sends order confirmations and password reset emails, and receives your email address.
Some of these companies are based outside the UK, so your information may be transferred abroad. Where that happens it is covered by the safeguards UK data protection law requires, such as standard contractual clauses.
We do not sell your information to anybody, and we never will. We would only hand anything over to the authorities if we were legally required to.
If you want to know exactly which companies we use, email us and we will tell you.
Your page is public
Worth being clear about this. Anything you put on your page can be seen by anyone who scans your code or knows its address. If you put a phone number or a home address on a lost pet page, that is visible to whoever finds the tag — which is the point, but it is your decision.
Pro subscribers can put a PIN on a page if they want to keep it private.
How long we keep things
- Your account and pages — until you delete them.
- Order records — six years, because tax law requires it.
- Scan records — up to two years, then deleted.
- Emails you send us — up to two years after the conversation ends.
Deleting your account from your account page removes your codes, your pages and your photos straight away. It cannot be undone, and the codes stop working permanently.
What you can ask us to do
Under UK data protection law you can ask us to:
- give you a copy of what we hold about you
- correct anything that is wrong
- delete your information
- stop using it in a particular way, or object to us using it
- send your information to another service
Email hello@scanthis.uk and we will sort it within a month. There is no charge.
Cookies
We only use cookies that are needed to make the site work — keeping you logged in, and remembering that you have unlocked a PIN-protected page. We do not use advertising or tracking cookies, which is why you are not being asked to click a cookie banner.
If you are not happy
Tell us first and we will try to put it right. If you are still not satisfied you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
